Information we collect
Depending on how you use ToolMate Labs, we may collect:
- name, company name, billing address, country and email address;
- account and login information;
- order, payment-status, VAT and refund information;
- messages you send through contact or support channels;
- basic technical and security information needed to operate and protect the site; and
- cookie or analytics information where optional technologies are enabled and, where required, you have consented.
Please do not send passwords or complete payment-card details through our contact or support channels.
Why we use your information
We use personal data only when we have a valid legal basis. In practice, this is mainly to:
- perform our contract with you — for example to process an order, deliver a digital product, provide account access and answer purchase-related questions;
- meet legal obligations such as accounting, tax and fraud-prevention requirements;
- pursue legitimate business interests such as securing the website, preventing abuse, providing support and improving our services, where those interests do not override your rights; and
- use consent for optional cookies, analytics or marketing technologies where consent is required.
Payments
When you pay by card, payment information is handled by OnPay as our payment gateway and Clearhaus as card acquirer. They process the transaction information needed to authorise, complete and, where relevant, refund your payment.
ToolMate Labs does not receive or store your full card number or card security code.
Service providers
We use selected service providers where necessary to run ToolMate Labs and deliver our services. Depending on how you use the site, your information may be shared with categories of providers such as:
- hosting and technical infrastructure providers;
- payment providers, including OnPay and Clearhaus for card payments;
- email and communication providers;
- accounting, legal and other professional advisers; and
- public authorities where disclosure is required by law.
We only share information that is reasonably necessary for the relevant service or legal purpose.
How long we keep data
We keep personal data only for as long as necessary for the purpose for which it was collected, including to provide products/support, resolve disputes, prevent abuse and comply with legal obligations.
Accounting and transaction records that form part of Danish bookkeeping material are generally retained for 5 years from the end of the financial year to which the material relates, unless a longer period is required in a specific case. Support and technical data are deleted or anonymised when they are no longer reasonably needed for their purpose, subject to legal claims and security requirements.
International data transfers
If a service provider processes personal data outside the EU/EEA, we use an applicable legal transfer mechanism where required, such as an EU adequacy decision or approved contractual safeguards.
Your data-protection rights
Subject to the conditions in applicable law, you may have the right to request access to your personal data, correction of inaccurate data, deletion, restriction of processing, portability of data, or to object to processing based on legitimate interests.
Where processing is based on consent, you may withdraw that consent for the future. You also have the right to lodge a complaint with a competent supervisory authority. In Denmark, the supervisory authority is Datatilsynet.
